1. Who We Are

GetCallbacks is a service operated by Manifest Cowboys LLC, a Wyoming limited liability company. We provide an AI-powered missed-call response platform for local service businesses in the United States. This Privacy Policy explains how we collect, use, and protect information in connection with our platform.

2. Information We Collect

We collect information in the following categories:

Account and Business Information

  • Your name, email address, and authentication credentials.
  • Business name, business phone number, industry, and service area.
  • Notification phone number and contact preferences.
  • Onboarding responses including service offerings, excluded services, and scheduling preferences.

Caller and Customer Data

  • Phone numbers of individuals who call your business line and are routed through our platform.
  • The content of SMS conversations between our AI system and those callers.
  • Information extracted from those conversations, such as the caller's issue description, address, and availability.
  • Outcome classifications and tags applied to conversations (e.g., booked, unqualified, emergency).

Payment Information

  • Payment method details are collected and stored by Stripe, our payment processor. We do not store full card numbers or CVVs. We receive limited billing metadata such as your subscription status and last-four card digits.

Technical and Usage Data

  • IP address, browser type, and device information.
  • Pages visited, features used, and timestamps of platform activity.
  • Error logs and performance data used to maintain and improve the service.

Authentication Data

  • If you sign in with Google or Apple, we receive your name and email address from those providers. We do not receive your social media passwords or non-essential profile data.

3. How AI Processes Your Data

GetCallbacks uses large language models — including models provided by Anthropic — to generate automated SMS responses and extract structured information from caller conversations. This means:

  • Conversation content is sent to Anthropic's API for processing. Anthropic's data handling is governed by their own privacy and usage policies. We send only the conversation content necessary for the AI to generate a response or extract lead data.
  • We do not use caller conversation data to train our own models, nor do we sell conversation transcripts to third parties.
  • AI-extracted data (issue summary, address, availability) may contain errors. We do not guarantee the accuracy of AI-extracted information and recommend that you verify lead details directly with callers.

4. How We Use Information

We use the information we collect to:

  • Provision and operate your GetCallbacks account and AI phone number.
  • Send and receive SMS messages on your behalf in response to missed calls.
  • Generate AI responses tailored to your business type and service offerings.
  • Populate your customer portal with conversation summaries and lead data.
  • Send you account notifications, billing updates, and service alerts.
  • Detect and prevent fraud, abuse, and violations of our Terms of Service.
  • Improve the reliability and performance of our platform.
  • Comply with legal obligations.

We do not use your data or your callers' data for advertising purposes, and we do not sell personal information to third parties.

5. Sharing with Third Parties

We share information with the following categories of third-party service providers, solely to operate and improve the platform:

  • GoHighLevel / LeadConnector: Our telephony and CRM infrastructure provider. Caller phone numbers, conversation content, and contact records are stored within their platform under the terms of our service agreement.
  • Anthropic: AI model provider used to generate SMS responses and extract lead data from conversation transcripts.
  • Stripe: Payment processing. Stripe handles all payment card data and is governed by their own PCI-compliant privacy policies.
  • Supabase: Database and infrastructure provider used to store account data and business profiles.
  • Google / Apple: Authentication providers when you choose sign-in with Google or Apple.
  • Vercel: Hosting provider for the GetCallbacks web application.

No mobile information (including SMS opt-in data, phone numbers, or message content) will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

We may also disclose information if required by law, court order, or government authority, or if we reasonably believe disclosure is necessary to protect our rights or the safety of any person.

6. SMS Messaging and Opt-Outs

Automated SMS messages are sent to callers who have called your business phone number, constituting prior contact that supports our messaging under applicable regulations. Every automated message includes instructions for opting out (e.g., replying STOP).

When a caller replies STOP or another recognized opt-out keyword, their number is flagged and further automated messages will not be sent to them. Opt-out requests are honored promptly in accordance with CTIA guidelines.

7. Cookies and Tracking

We use session cookies to maintain your login state while you use the platform. We may use analytics tools to understand aggregate usage patterns and improve the product. We do not use cookies to track you across third-party websites or serve targeted advertising.

8. Data Retention

We retain your account and business profile data for as long as your subscription is active. After cancellation or termination, we may retain data for up to 90 days before deletion, except where longer retention is required by law.

Caller conversation data (SMS transcripts and extracted lead fields) stored within our telephony infrastructure (GoHighLevel) is subject to that platform's own retention policies. We recommend exporting any records you wish to keep before cancelling your account.

Payment records and billing history may be retained for longer periods for tax, accounting, and legal compliance purposes.

9. Security

We implement reasonable administrative, technical, and physical safeguards to protect the information we collect, including encrypted data transmission (HTTPS), access controls, and service-role authentication for database access. However, no system is completely secure. We cannot guarantee the absolute security of your information and are not responsible for unauthorized access resulting from circumstances beyond our reasonable control.

10. Your Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your personal information (subject to legal retention obligations).
  • Object to or restrict certain processing of your information.
  • Receive a copy of your data in a portable format.

To exercise these rights, email hello@getcallbacks.com. We will respond within 30 days. Note that some information may need to be retained for legal or operational reasons even after a deletion request.

11. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and how it is used, the right to delete your personal information, and the right to non-discrimination for exercising your privacy rights.

12. Children's Privacy

GetCallbacks is a business-to-business platform and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, contact us at hello@getcallbacks.com and we will delete it promptly.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice in the platform. The updated policy will be effective as of the date posted. Continued use of the service after changes are posted constitutes your acceptance of the updated policy.
